PREPARATION OF AUTOMATED TAX PAYMENTS

Making tax payments on your behalf

1. SERVICE DESCRIPTION

Our Preparation of Automated Tax Payments Service is designed to manage the full cycle of your company’s Italian tax payment obligations on your behalf, from the calculation and preparation of each payment to its secure and timely execution directly to the relevant tax authorities via the F24 telematic payment system.

The primary objective is to ensure that all tax payments owed by the company – including VAT (IVA), corporate income tax (IRES/IRPEF), regional tax on productive activities (IRAP), social security contributions (INPS), withholding taxes, and any other fiscal charges – are calculated accurately, prepared in the correct format, and settled on time, eliminating the risk of late payment penalties and default interest.

The service encompasses several key activities:

  • F24 Form Preparation and Submission: compiling and electronically transmitting the unified payment form (Modello F24) for all taxes, contributions, and duties payable;
  • Offset and Credit Management: identifying and applying any available tax credits or prior overpayments (compensazioni) to reduce the amounts due, in full compliance with Italian tax law;
  • Secure Payment Execution: initiating the bank debit directly from the company’s designated current account via a protected and encrypted telematic channel, with full traceability of every transaction.

Accurate and timely management of tax payments is crucial, as it shields the company from penalties, administrative surcharges, and reputational damage, while ensuring a transparent and orderly relationship with the Italian Revenue Agency (Agenzia delle Entrate) and other public bodies.

2. ACTIVITIES

The service covers the entire operational process related to the preparation and execution of automated tax payments, including:

  • F24 compilation: preparing the Modello F24 with the correct tax codes (codici tributo), reference periods, amounts, and any applicable offsets or deductions, for all categories of payment (taxes, social security contributions, local levies, etc.);
  • Pre-payment verification: carrying out a cross-check of all payment data against the company’s accounting records and tax returns before authorisation, to prevent errors and duplicate payments;
  • Secure telematic execution: transmitting the authorised F24 payment via the Entratel/Fisconline channel or through the company’s banking home-banking system, with direct debit to the designated company account;
  • Receipt collection and archiving: obtaining and preserving the official telematic receipt (ricevuta telematica) confirming successful payment;
  • Accounting reconciliation: recording each payment in the company’s accounting ledger with the correct imputation, ensuring full consistency between the tax payments made and the financial statements.

This service is fully integrated with the DGTAX accounting portal and the client’s banking system, ensuring a seamless, automated, and fully auditable payment workflow.

3. REQUIREMENTS AND DEADLINES

Adherence to payment deadlines is critical. Late or omitted payments can result in automatic administrative penalties, default interest (interessi di mora), and enforcement proceedings by the Italian tax collection agency (Agenzia delle Entrate-Riscossione). DGTAX monitors the full Italian tax calendar to guarantee that no deadline is missed.

The service meticulously manages the following key tax payment deadlines:

  • Monthly withholding tax payments (ritenute d’acconto): due by the 16th day of the month following the payment to the recipient, via the F24 form with the relevant tax codes;
  • Monthly VAT settlements (liquidazioni IVA mensili): due by the 16th day of the following month for companies on a monthly VAT regime;
  • Income tax and IRAP advance and balance payments (IRES/IRPEF/IRAP): first advance payment (primo acconto), second advance payment (secondo acconto) due by 30 November, and tax balance (saldo) ;
  • Social security contributions (contributi INPS): paid on a monthly or quarterly basis depending on the category of worker, by the deadlines established by the relevant INPS circulars;

To mitigate compliance risks, DGTAX issues automatic reminders, guaranteeing accuracy and timeliness throughout the fiscal year.

4. WHAT THE CUSTOMER SHOULD DO

To ensure the seamless and accurate execution of the service, the client is required to provide the following information and take the following actions:

  • Bank account details and payment authorisation: provision of the company’s current account IBAN and formal written authorisation for DGTAX to initiate F24 payment debits on the company’s behalf via the agreed secure channel;
  • Adequate liquidity on the designated account: ensuring that sufficient funds are available on the company’s bank account at least two working days before each payment deadline, to allow for successful debit execution;
  • Notification of special fiscal positions: prompt communication of any instalment plans (rateazioni), tax disputes, offsetting arrangements, or other special circumstances that may affect the amounts due or the payment method to be used.

The timely and organised delivery of this information enables DGTAX to guarantee the correct calculation of all amounts due and the strict observance of every payment deadline.

5. WHAT WE DO

DGTAX transmits each F24 form via the Entratel telematic channel or through the company’s banking home-banking system, initiating the direct debit from the company’s designated current account in a fully secure and encrypted manner. The payment is executed in compliance with the applicable deadline and immediately confirmed by an official telematic receipt.

Our dedicated team oversees the correct accounting imputation of each payment, monitors the transmission receipts, and digitally archives all related documentation. Any failed or rejected payment is flagged immediately and resolved without delay to prevent the accrual of interest or penalties.

6. Outputs PROVIDED

Our clients receive the following key documents and reports as part of the service:

  • Copies of all F24 payment forms prepared and submitted, complete with tax codes, reference periods, amounts paid, and any offsets applied;
  • Official telematic payment receipts (ricevute telematiche) confirming the successful execution of each transaction, as issued by the Agenzia delle Entrate system;

7. NOTES AND RECOMMENDATIONS

It is crucial for the client to ensure that the designated bank account is adequately funded at least two working days before each payment deadline. A failed direct debit due to insufficient funds constitutes a late payment and triggers the automatic application of penalties and interest, regardless of the cause of the shortfall.

We strongly advise maintaining a constant flow of communication with DGTAX to promptly report any changes in the company’s tax position, including new instalment plans, pending assessments, credits arising from tax returns, or any banking changes such as IBAN modifications.

Where the company has accrued tax credits eligible for offset (compensazione), it is necessary to jointly assess with DGTAX whether preconditions apply, such as the prior submission of a tax return or the filing of a conformity visa (visto di conformità) for credits exceeding the annual threshold set by Italian law.

Ultimately, an orderly and proactive management of tax payment obligations guarantees both fiscal compliance and complete transparency in the company’s relations with the Italian Revenue Agency and other public authorities.
